Friends of Forest Farm is committed to respecting and protecting your privacy.

This Notice explains when and why we collect personal information and how we use it.

Who are we?

Friends of Forest Farm is a not-for-profit organisation run by an elected committee of volunteers. We work with Cardiff Council’s Park Rangers Service to help promote, protect and maintain Forest Farm Nature Reserve and the Longwood & Glamorganshire Canal SSSI.

How do we collect information from you?

We obtain information about you when you complete a membership form, either paper‑based or online, or when you choose to provide us with it (eg, to update your postal or email address).

What information do we collect from you?

We collect information necessary to register you as a member and to send you copies of our newsletter. This will include your name, your postal address and your email address (if you request an electronic copy of our newsletter). We will also collect your email address if you pay via PayPal.

We do not collect or store any payment card data information. If you choose to pay via PayPal, only PayPal will collect and store your payment card data — we won’t even see it. You should check PayPal’s privacy policy for details of what they do with your personal information.

How will we use your information?

We will use your information to send you communications that we believe will be of relevance and interest, on the basis that you have chosen to become a member of Friends of Forest Farm.

The General Data Protection Regulations (GDPR) require us to choose a ‘lawful basis’ for processing your data (eg, to send our newsletter or emails to you).

Our lawful basis is ‘legitimate interest’.

In other words, we will send you things that further the legitimate interests of Friends of Forest Farm, which are helping to promote, protect and maintain Forest Farm Nature Reserve and the Glamorganshire Canal.

Things like our quarterly newsletter. Also, we may also send occasional ‘promotional’ emails about events and activities being run by Friends of Forest Farm, or those of selected organisations (such as other volunteer groups) that we believe are relevant to the interests of Forest Farm.

How long will we keep your information?

We will retain the personal information we collect from you for as long as is necessary for the relevant activity — eg, to send you our Newsletter — or until you ask us to remove it.

What security is in place to protect your personal data?

We will take all reasonable measures to ensure the security of your data. (Eg, we use MailChimp — a leading email-list management service — to store your email address and to send emails to you.)

Who has access to your information?

Only members of Friends of Forest Farm’s committee.

We will not sell, lend, or rent your information to third parties.

We will also not release your information to third parties unless you have explicitly asked us to do so (eg, because you want them to send information direct to you) or unless we are required to do so by law (for example, by a court order).

How can you stop receiving communications from us?

In the case of emails, you can use the link provided in every email that we send.

How can you update your information?

You can also update your email address using the link provided in any email that we send to you.

Our Use of ‘cookies’.

Like many other websites, the Forest Farm website may use cookies. ‘Cookies’ are small pieces of information sent to your computer and stored on your hard drive to allow a website to recognise you when you’re using it. They collect general statistical data about your browsing actions and patterns. They do not identify you as an individual. This helps us to improve our website and deliver a better more service.

First-party cookies are the cookies that we set for ForestFarm.org.uk. Third-party cookies are cookies set when you browse ForestFarm.org.uk that come from different domains.

Video Meetings

If we need to hold a meeting online, we will use Zoom as the platform. You should therefore also consult Zoom’s Privacy Statement regarding what data Zoom collects and what they do with it.

Participating in a meeting

Participation in any online meeting that we hold will require an invitation, which will contain a passcode for the meeting. In order to receive an invitation, if we do not already hold it in our membership records, you will need to provide us with your email address (so we can send the invitation), and your name and postal address (so that we can confirm that you are a member of The Friends of Forest Farm). 

Recording of meetings

Recording of meetings by participants is not permitted and recording will be disabled in the Zoom platform. We will not record meetings.  

Things to be aware of

If you choose to participate in a video meeting, please be aware of the following:

  • if you turn your camera on, your  image and its background will be visible to other participants
  • depending on your personal Zoom settings, personal information may be available to other participants;
  • if you share your screen, any information it contains will be visible to other participants

Please keep your Zoom software up-to-date.

Links to other websites.

Our website may contain links to or embedded content from other websites run by other organisations. This Privacy Policy only applies to The Friends of Forest Farm‚ so we encourage you to read the privacy statements on any other websites you visit. We cannot be responsible for the privacy policies and practices of other sites, even if you access them via our website.

Aged 16 or Under?

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under‚ please get your parent/guardian’s permission beforehand whenever you provide us with any personal information.

What rights do you have over your data?

You can request to receive a copy of the personal data we hold about you, including any data you have provided to us.

You can also ask us to remove any personal data we hold about you. (This doesn’t include any data we are obliged to keep for administrative, legal, or security purposes.)
